This policy explains, in plain language, what personal information Cryptex IT Solutions collects, why we collect it, how we look after it, and the rights you have under the Protection of Personal Information Act (POPIA).

Cryptex IT Solutions (Pty) Ltd (registration number 2026/218176/07) is a South African IT and AI solutions company based in Pretoria, Gauteng.

02What information we collect
From our website: we use Vercel Web Analytics to understand how the site is used. It collects aggregated, anonymous usage data — such as page views, the sites people arrive from, and general device, browser, and country information — without using cookies and without collecting any information that personally identifies you or tracks you across other websites. Aside from this, the only way to submit information through the site is our booking tool (Calendly), where you provide your name, email address, and a preferred time slot. That information is handled by Calendly, not stored on our own servers — see the third-party services section below.
From client engagements: when you work with us, we collect the information we need to deliver the service. This typically includes names, contact details, and company information. Occasionally, and only where a specific project requires it, we may need to handle more sensitive information (for example, when accessing a client system that contains ID numbers or financial data). We handle this on a case-by-case basis, with appropriate care, and we do not collect or store sensitive information routinely.
03How we use your information
We use your information to deliver our services, to issue invoices and manage payments, to communicate with you about your project or enquiry, and to meet our legal and regulatory obligations.
We do not sell your personal information, and we do not use it for advertising or profiling.
04How we store your information
Client information is stored in Google Drive and on the devices of our directors. These are protected with two-factor authentication and up-to-date antivirus software.
We take reasonable technical and organisational steps to keep your information secure and to prevent unauthorised access, loss, or disclosure.
05How long we keep your information
We keep client personal information for 5 years after a project is completed, after which it is securely deleted — unless a legal obligation requires us to keep it for longer.
06Third-party services
Vercel (hosting & analytics): our website is hosted on Vercel, which also provides Vercel Web Analytics. This collects aggregated, cookieless usage statistics and does not identify you personally. See Vercel's privacy policy at https://vercel.com/legal/privacy-policy.
Calendly (booking): when you choose to use our booking feature, Calendly may place cookies on your device and processes the details you enter in accordance with its own privacy policy, available at https://calendly.com/privacy. These cookies are only triggered if you interact with the booking widget — not simply by visiting our site.
Xero (accounting): we use Xero to manage invoicing and accounting records, which may include your name, contact details, and billing information.
Google Drive (storage): we use Google Drive to store project files and client information securely.
07Your rights under POPIA
Under the Protection of Personal Information Act, you have the right to:
- Access the personal information we hold about you;
- Ask us to correct information that is inaccurate or out of date;
- Ask us to delete your personal information, where we are not required to keep it;
- Object to our processing of your personal information; and
- Lodge a complaint with the Information Regulator of South Africa (inforegulator.org.za).
08How to exercise your rights
To exercise any of these rights, please send a written request to legal@cryptexsolutions.co.za. We will respond within a reasonable time and may need to verify your identity before acting on your request.
09Changes to this policy
We may update this policy from time to time. When we make material changes, we will update the effective date at the top of this page and, where appropriate, notify affected clients by email.
